Learning the job description before you go the interview

This is one of the most over-looked elements of interview preparation. Many people do not even know that such a document exists in the build-up to their interview, let alone spend any time learning it. It is vital that you learn the job description before you attend the interview. Why? Simply because it is highly likely you will be asked questions about its content  either directly or indirectly. 1. You may get asked a question that goes along the lines of “What does the role involve that you are applying for?”

If you get asked this question you should respond to it by detailing the key factors that are relevant in the job description.

2. You may get asked a series of interview questions that are designed from the job description. For example, one of the key elements of the job description might be:

‘Be able to deal with customer complaints effectively and in a timely manner.’

An interview question based around this element of the job description might be:

Q. Can you give us an example of where you have dealt with a customer’s complaint in a timely manner? What did you do and why?

You can start to see how important it is to learn the job description and be able to provide key evidence of where you meet the relevant skills required to perform the job you are applying for competently.

Responding to the interview questions in a logical and concise manner

This is another area where many people fall down during the interview; they provide responses which are either disjointed or irrelevant to the question being asked, i.e. they waffle!

When responding to the interview questions try to use a method that will ensure your responses are logical and concise. This can be achieved by using the STAR method for responding to interview questions:

S is for SITUATION

Start off by telling the interview panel what the situation was that you were involved in. Here’s an example:

“I was required to deal with a customer’s complaint. Basically the customer was very unhappy with the service we had provided and so I decided to volunteer and deal with their complaint in a timely manner.”

T is for TASK

Now go on and tell the interview panel what you had to do. Here’s an example:

“It was my task to respond to the customer’s complaint in line with company policy and also in a manner which resolved the complaint. It was my job to also ensure that we did not lose the customer.”

A is for ACTION

You can now tell the interview panel what action you took. Here’s an example:

“I started off by listening to the customer carefully by using effective listening skills. I listened to their complaint, sympathised where appropriate and also apologised for any inconvenience we had caused. I then told them what I intended to do in order to resolve their complaint before telling them that I would keep them informed of any progress I was making in relation to their complaint.”

R is for RESULT

You can finally tell the panel what the result was following your actions. You should try to ensure that the result is positive. Here’s an example:

“The result of my actions meant that the customer’s complaint was dealt with effectively and in a timely manner. They thanked me for my considerate nature and they informed me that they would be using our company again.”

You can see that by following the above STAR method for responding to interview questions you are answering the question in a concise and logical manner.
