Executive Officer – Job Description


Executive Officer roles within the Civil Service usually involve supporting the delivery of services, policies or operational work within a department. Duties can vary depending on the area of government, but the role often includes managing more complex casework, supporting projects, analysing information, preparing reports and helping to improve the way services are delivered.

You will be expected to take responsibility for your own workload, make sound decisions in line with guidance, and provide clear and professional support to colleagues, customers, stakeholders or members of the public. You may also support junior staff, help coordinate team activity, use internal systems to manage information, and contribute to the smooth running of your business area.

The role requires strong organisation, good judgement, attention to detail, clear communication and the ability to work well under pressure. You will also need to understand Civil Service procedures, handle information appropriately and look for ways to improve processes and service quality.

Key Tasks of an Executive Officer

  • Manage a varied workload, including casework, applications, correspondence or operational tasks.
  • Review, update and check documents, records and case files for accuracy and completeness.
  • Analyse information and prepare basic reports, summaries or briefings for managers.
  • Make decisions or recommendations in line with policy, guidance and departmental procedures.
  • Respond to enquiries from colleagues, customers, stakeholders or members of the public.
  • Use internal IT systems to input, retrieve, monitor and maintain accurate information.
  • Support the delivery of projects, services or team objectives.
  • Help coordinate team activity and support junior colleagues where required.
  • Identify issues, delays, risks or errors and take appropriate action to resolve or escalate them.
  • Communicate clearly and professionally with internal and external contacts.
  • Follow Civil Service policies, data protection rules and quality standards.

  • Grades 6 & 7. A senior management position, with enhanced police responsibility, answering to directors and director generals.
  • Senior Civil Servants. Directors and director generals work closely to ministers within their department and are the most senior roles within the civil service.
